AI for dental practices: intake, recall, and no-show recovery

Dental practices have a fairly consistent set of operational headaches that show up in the books every month. Three of them are tractable with AI right now, and most of our dental clients address all three in a single engagement.

Number one is intake. New-patient calls go to voicemail more often than any practice would admit, and patient information collected over the phone is incomplete maybe a third of the time. An AI receptionist captures every new-patient call, runs the intake conversation, collects insurance info, and sends a digital intake form to fill in the gaps before the appointment. The front desk arrives Monday morning with a stack of clean new patients ready to be scheduled.

Number two is recall. The hygiene patients you saw in May who should be back in November — most practices have a list of these and most practices don't reliably reach them. AI handles the cadence: text first, voicemail second, gentle email third. Done with the kind of warmth that doesn't sound like a marketing campaign. Recall conversion goes up measurably; we typically see 12 to 18 points.

Number three is no-show recovery. The 9am cleaning that just canceled. The slot is going to sit empty unless someone goes through the standby list and starts dialing. AI does that automatically — texts the standby list in priority order, books the first taker, updates the calendar — usually before the front desk has noticed. Empty chairs become filled chairs in minutes.

All three of these, deployed cleanly, run inside HIPAA-aware private inference. Patient data does not leak to general-purpose AI training. The audit trail is complete. The practice manager has a single dashboard showing what got handled and what's pending. No tablets in the operatory. The patient experience just gets quietly better.
